Systems is Hiring an Event Coordinator Near Tampa, FL

The Senior Event Specialist role is a key member of the events marketing team, responsible for strategic direction and logistical project management for a high volume of tradeshows, meetings, and in-person and virtual event experiences. These events, support efforts that instill client confidence, elevate our brand, and educate, engage, and support our clients all with a focus on tactical support for campaigns and sales to drive.

In this position, you will develop strong partnership collaboration with key stakeholders, including Marketing,
Sales, Client Success for all tradeshows, and event planning with the collective objective of advancing
Essential Duties & Responsibilities
? Meet with the Marketing Event team and other key business stakeholders to ensure the
understanding of the strategies that support campaign tactics, targeted at increasing attendance,
engagement, lead generation, and revenue through effective event design focused on the
client/prospect experience
? Execute the strategic plans for exhibiting at national tradeshows as well as other marketing-sponsored
events with responsibilities for research, evaluation, and identifying sponsorships to support
campaigns and maximize company exposure
? Ensure that all event strategies are aligned with overall revenue goals, marketing campaign strategies,
and corporate objectives
? Support project management of all pre-planning activities for events/tradeshows including:
? Contracting
? Budget adherence and tracking
? Promotional planning (internal and external)
? Event and tradeshow communications planning
? Assisting with the production of event materials, collateral, lead capture, presentation templates,
giveaways, and signage
? Designing exhibitor packets
? Own and maintain budgets, purchase orders, 3rd party payments, and invoice approvals
? Seeks efficiencies in program execution to include, but not limited to, best practices for
implementation and leveraging SNA policies and practices
? Navigate specified software management tools and/or processes to manage event details efficiently
and accurately
? On-site event and tradeshow responsibilities include:
? Managing vendors (i.e. production company, registration services, etc.)
? Event and tradeshow operations
? Exhibitor set up
? Staff and speaker support
? Lead generation process
? Manage all post-event and tradeshow responsibilities including:
? Complete event and tradeshow traffic, attendance, lead-generation and ROI reports reports
? Correspondence to facilities, vendors, and speakers
? Processing all invoices for payment
? Preparing evaluation surveys
? Budget reporting and ROI tracking

Skills & Other Requirements
Education and Experience
? High School Diploma/GED
? Bachelor’s degree or equivalent work experience
? Four (4) years of corporate event management and tradeshow experience
? Two (2) years experience in Healthcare IT (SaaS) organizations
? Proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint
? Experience with SFDC, SharePoint, Wrike
? Experience managing third-party vendor relationships
Skills, Knowledge, and Abilities
? Strong knowledge and proficiency with Cvent Event management systems
? Strong communication and interpersonal skills; must be able to communicate with respect and
discretion with Senior Leaders, clients, speakers, staff, and vendors, and adapt to communication
styles to support interaction with a wide range of audiences including executive-level audiences.
? Reliable, have a positive attitude, and a strong work ethic
? Results-oriented and data-driven personality
? Client-first focus, understanding our clients are our internal client-facing teams as well as external
? High degree of emotional intelligence
? Ability to handle multiple administrative tasks, prioritize, and stay organized to ensure efficient and
accurate work
? Ability to travel 20-40%
Work Environment/Physical Demands
? While at work, this position is primarily a sedentary job and requires that the associate can work in an
environment where they will consistently be seated for much of the workday.
? This position requires the ability to observe a computer screen for long periods to observe their own
and others’ work, as well as incoming and outgoing communications via the computer and/ or mobile
devices.
? The role necessitates the ability to listen and speak clearly to internal and external customers
? Additionally, one rep ride-a-long per quarter may be requested.
? Travel and work outside of office hours as needed to attend events (may include occasional weekends)
? One (1) to two (2) company events per year will require onsite support one (1) to two (2) tradeshows.
? Goal to attend one educational conference per year, with a full debrief provided to the management
team afterward.

Job Type: Full-time

Pay: $55,000.00 - $60,000.00 per year
